Coordinate Multiple Tasks
When coordinating an event you must make progress on many different fronts at once. You are constantly working with different vendors while always keeping you client satisfied, this can be difficult. But, with strong organization and a positive attitude this can be achieved seamlessly, with out having to think twice!
Communicate Clearly & Follow Up
Exquisite communication skills are a HUGE asset as an event and meeting planner. You are whole the clients and vendors look to as the point of contact and liaison between the two, with out you there really is no communication, and with out that there is no event!
Choose the Right Team
This is the key to success! No castle was built by one man and no event can be done by one person, choosing the right team to help you accomplish your goal will make your job a breath of fresh air. Just because they are your best friend, unfortunately, it doesn't always mean they are best for the job. Be careful when choosing your team and don't let politics and friendships get in the way of the final goal, the Ultimate event!
Create a Project Plan
Or as I like to call it your "Event Bible", this book is the holy grail, it hold every little detail of the event from phone numbers to maybe a picture of each vendor so your not embarrassed the day of the event while introducing your client and vendors, then ... brain fart! It happens to ALL of us at one point, but once is enough, Right? The little extra time and commitment to detail that can make all the difference.
Control the Event
No this doesn't mean its time for you to turn into Hitler, but do keep in mind that no one else is the point of contact or the person of reference and well, if shit hits the fan (pardon my language), it all falls back on you. keeping everyone punctual, as much as you can control of course, but also keep everyone in the loop, nobody like to be left out. Make sure to make your presence known but sit in the background and over see each task you have at hand and keep your keen eye for detail. detail. detail!!
